Choose a repeatable starting point.
List the non-clinical tasks that interrupt your team most often. Scheduling coordination, reminder preparation, records requests and referral status tracking can be useful starting points when the practice has clear instructions and a defined escalation path.
Write the task as a short playbook.
Include the trigger, required inputs, approved steps and completion criteria. Add an example of a normal case and an exception. Ask someone unfamiliar with the task to follow the instructions; their questions reveal where the playbook needs work.
Keep clinical decisions with the clinical team.
Define which questions the assistant can answer from an approved script and which must go to a clinician. A virtual assistant should not interpret symptoms, recommend treatment or make decisions outside the agreed non-clinical role.
Review the first handoffs.
Start with a manageable scope and a named supervisor. Discuss unclear instructions and repeat questions before adding more work. A good first review asks both whether the task was completed and whether it made the next person’s work easier.
